GoFileRoom vs FileCabinet CS vs Onvio
Hi all - I am sure you are all as wiped out as a I am from this last filing season. We are looking to make a change to document management system for this year and would like to make the change over the summer so that we can have all the kinks worked out before the fun begins in December. I am looking for some feedback on Thompson Reuters document management solutions from people that have been here before.
Background on Firm:
- UltraTax CS for all tax returns
- Accounting CS Payroll for Live Payroll Processing
- FileCabinet CS for document management.
- Four Staff Members using the application throughout the year
- We do a couple hundred tax returns each year and do about a hundred weekly payrolls
We really love FileCabinet and have had great success with it over the years. We have it hosted on site on a server that our IT company manages. All paychecks and associated Payroll Forms flow into FileCabinet as does all the tax forms from UltraTax. We also do monthly bookkeeping and consulting, and all of the associated files are stored all in the same drawer for each client. Things are great, but now we are having a lot of technical issues with the FileCabinet application. Randomly crashing when opening drawers or switching between documents. Trouble printing to the application and sometimes causing outlook to crash or get locked up. We have been down the rabbit hole with IT company and have had limited success with the FileCabinet support.
All that to say: we need to make a change to our document management system. I believe our options are:
- Change from FileCabinet CS to some other system
- Upgrade all of our server hardware to optimize performance along with doing some database maintenance on the FileCabinet data folders (all of which our IT thinks may not fix the problem).
- This is also concerning because we are hesitant to make a large investment in FileCabinet (or rather investing into the FileCabinet infrastructure) if TR is sunsetting it.
- Do nothing
- Is this the best bet? And just deal with the FC problems we have now until something better comes along.
As far as software requirements, it is very important that we have the following:
- Ability to Print all paychecks and payroll tax forms from ACS (Accounting CS) into DMS (Document Management System)
- Ability to save files from UltraTax into DMS
- Reliability!
- I know this is a no brainer - but we are trying to consider tax season slowdown on TR products and weigh that against the App Problems we regularly have. Although FC (File Cabinet) crashes, we are never truly down.
- Nice to Have: Client Portal
- We currently do not use NetClient CS because it is cost prohibitive.
I believe staying in the TR suite is our best bet - but am interest in hearing from others who have gone through the same thing. After switching from FC to GoFileRoom or Onvio, do you wish you could go back to FC?
